Job Description:
Join an energetic, patient-focused team! Heartland Imaging is
currently seeking an experienced Administrative Assistant for a
Full-time Flex position at our outpatient imaging center located in
Louisville, KY. JOB SUMMARY: Under the direction of the
Administrator, the Administrative Assistant: Performs
administrative and office support functions. Serves as main point
of communication for the Imaging Center. Serves as part of the
imaging center team and seeks as well as provides feedback for
improved clinical practice. ESSENTIAL JOB FUNCTIONS Warmly answers
all incoming phone calls: customer service, phone etiquette, and
organizational skills required. Responsible for multi-line
switchboard and to appropriately triage all incoming phone calls.
Serves as a liaison between all customers, including patients,
physicians, imaging center staff, OIA, and vendors with timely
follow-up. Handles HIPAA sensitive information and recognizes
importance of these regulations. May perform courier services if
center does not utilize a dedicated Courier. Courier services
include, but are not limited to the transportation of film, CDs,
etc. to referring physician offices. Proficiently maintains and
uses knowledge of office equipment including, but not limited to,
fax machines, computers, and printers. Creates proofs and
distributes written correspondences, i.e. Newsletters, memos, etc.
Coordinates notifications for new referring practices and
facilitates correspondence and mailings with guidance from
Marketing Manager or Administrator Provides new employees with
Welcoming materials and photograph at orientation. Accurately
maintains marketing archive records and posts records of marketing
activity as needed in customer relationship management (CRM)
software. Updates CRM software to reflect releases of campaigns,
mailings, and event attendance. Coordinates, creates, proofs, and
orders marketing pieces and center-wide forms. Assists with
maintaining office inventory. Proficient use of Microsoft Office
products to create, update, and maintain documents, reports,
presentations and databases. Serves as the main point of
center-wide communication, both orally and written. Coordinates
and/or assists with planning center events, luncheons, etc.
Maintains working knowledge of Imaging Center (and Medical Center,
when applicable) policies and procedures. Assists and/or maintains
other established procedures as directed, invoice processing,
ordering of supplies, preparing reports, data input and tracking.
Assists with special projects as needed. Cross-trains other
clinical support and business office duties as directed, and
provides back-up for other Administrative Assistants as needed.
Takes the initiative to help other modalities/areas of the Imaging
Center as assigned or when own work load/area allows. Participates
in performance improvement activities. Participates as a team
member and is accountable for own work responsibilities.
Demonstrates consistent use of AIDET (Acknowledge patient,
Introduce yourself, provide Duration/timeline for test, Explain the
process & Thank them for choosing the center) and HEAL (Hear them
out, Empathize, Apologize, & Leap into action to solve) when
interacting with patients/customer. Attends/participates in staff
meetings, in-services, & center-wide meetings as scheduled.
Performs all other duties as assigned. Requirements EXPERIENCE:
Office, business, customer service experience required. Switchboard
experience preferred, but not required. Medical office experience
preferred. EDUCATION: To be competitive, minimum two years clerical
or administrative experience required. SKILLS/ABILITIES: Ability to
work independently and multitask. Ability to provide documentation
accurately and concisely. Proficient in Microsoft Office Software.
Knowledge of medical and radiology terminology. Knowledge of
computer applications, including information and billing systems,
keyboard input, digital archiving, and retrieving of data.
Knowledge of Microsoft Office, including Word, Excel, and
