Rewarding!As an Executive Assistant, you will support the Vice
President and General Manager of the Weapon Systems product line at
the Louisville manufacturing plant as well as be responsible for
supporting the Weapon Systems program team, including multiple
Directors and Managers across several sites and involved in
supporting other leaders and events as needed. This position is a
full-time onsite role out of the Louisville, KY facility and duties
include but not limited to; arranging domestic and international
travel, processing expenses, managing calendars, coordinating
single and recurring meetings, some complex in nature due to
varying time zones with international customers. In this role you
will contact company personnel at all organizational levels to
gather information and prepare reports. Additionally, this role
will be responsible for coordinating internal and customer onsite
visits or events. Work is generally of a critical or confidential
nature. Works on complex assignments where independent action and a
high degree of initiative are required in resolving problems and
developing recommendations.Responsibilities:
- Act as a point of contact between BAE Systems Inc., senior
management, and other internal and external stakeholders
- Maintain and manage calendars, coordinate meetings,
appointments, and events for the VP/GM and associated staff
- Coordinate, facilitate, and provide support for various
meetings and events with a high degree of tact and diplomacy
- Coordinate and manage travel arrangements, expense reporting,
and procurement card reconciliation
- Ensure presentations are prepared and technology is working
prior to meetings/events to ensure effectiveness
- Manage telecom and MS Teams connections and coordinate video
meetings and conference rooms
- Record meeting notes and track meeting actions items through
completion by directing the workflow of other individuals within
the VP/GM's team
- Assist with budget and expense process for events
- Process procurement orders and purchasing requisitions
- Support coordination for International visitors
- Assist in coordinating and executing onsite employee engagement
events
- Perform general administrative duties including but not limited
to: typing, copying, collating, preparing packages for delivery,
filing, record-keeping, and data entryRequired Education,
Experience, & Skills
- High School Diploma and 4 years of work experience in a similar
environment/field or equivalent experience
- Experience in Executive/Administrative Assistant roles
- Customer focused with good time management skills
- Effective communicator and team player
- Experience in Calendar Management and Meeting/Event
Coordination
- Experience in Domestic/International Travel Coordination and
Expense Reporting
- Must be highly organized and detail oriented with the ability
to enter, update, and manage data in SharePoint and/or other like
tools
- Ability to prioritize work, adapt to change, and remain agile
in a dynamic and fast-paced environment
- Ability to work in a team environment and support
cross-functional departments and multiple groups
- Ability to communicate with diverse stakeholders
internally/externally, including with different international
business cultures
- Desire to continuously learn new skills and remain
knowledgeable of relevant industry trends and technology
advancements
- Proficient in MS Office (Word, Excel, PowerPoint,
etc.)Preferred Education, Experience, & Skills
- Associates Degree
- Experience supporting C-suite level personnel
- Experience in global, matrixed organizations
- Experience interfacing with diverse business cultures
- Experience in SharePoint, MS Teams and/or MS 365Pay
InformationFull-Time Salary Range: $54900 - $87800Please note: This
range is based on our market pay structures. However, individual
salaries are determined by a variety of factors including, but not
limited to: business considerations, local market conditions, and
internal equity, as well as candidate qualifications, such as
